Seven steps. Per organization.
This is the whole sequence. Not a sales overview — the actual setup loop your team runs, in order, with nothing left out. If you're the controller who has to green-light this, you shouldn't have to email us to find out what you're agreeing to.
Run this once per organization. Every entity you track is its own organization, registered from an existing domain user — under 30 seconds each.
At the login page, sign in with your Microsoft 365 work account using your existing sign-in and MFA. Coherence requests only basic profile information — name and email. No access to mailboxes, files, or directory data. If your tenant requires admin approval for new apps, that approval is a quick one given the minimal permissions.
Add each member as an admin or with specific access under Settings. Role and resource permissions are configured per user. No per-user fees — invite finance, the board, auditors, whoever needs it.
The organization's display name as it appears in the Portfolio view.
Each entity carries its own fiscal calendar. They don't have to match — combined statements footnote the difference so the reader knows what they're looking at.
Create the periods you want history for. These have to exist before trial balances can post to them — this is the step people miss.
Spreadsheet upload. Three required columns — Account Code, Account Name, GL Account Type — plus optional Is Cash / Is AR / Is AP flags. Thirteen GL types, each accepting multiple name variants. Booleans accept yes, true, 1, ✓.
In date order. Coherence posts each one as a balanced General Journal Entry. Under a minute per period once you're in the rhythm: upload → preview → create journal entry → finalize → request posting. Re-upload any time within a period to bring the numbers current.
Steps 1–5 are setup and take minutes. Steps 6–7 are the real work, and the real work is light.
For one entity, that's an afternoon. For five entities, it fits in a single sitting. Most of the "seven business days" in our go-live commitment is wall-clock, not labor — provisioning and identity-provider connection happen on our side while your team does the four things only your team can do: confirm the fiscal year, create the periods, upload a chart of accounts, upload the trial balances.
We'd rather show you seven steps than promise you two. A controller who finds out about steps three through five after signing is a controller we've already lost.
Authentication, tenant isolation, encryption, backups, and subprocessors are documented in full on the Security & Trust page.
The short version for an app-consent review: Coherence has no password database, delegates identity entirely to Microsoft Entra ID or Google Workspace, and requests name and email only. Your MFA, conditional access, and offboarding policies apply automatically. Disable a user in your directory and Coherence access drops in real time.
